Administrative Assistant, Marketing, Communications, and Corporate Relations

The American Dietetic Association, the world's largest organization of food and nutrition professionals, has an immediate opening for an Administrative Assistant. This position will provide administrative support to the Marketing, Communications and Corporate Relations Group by preparing PowerPoint presentations, maintaining and archiving documents, preparing letters, ordering all necessary supplies and scheduling meetings including AV support. In addition, the Administrative Assistant will support Library Services by maintaining periodicals and responding to inquiries.

Responsibilities:

  • Create and maintain filing system for VP and 3 directors
  • Proofread documents and prepare correspondence as requested
  • Order office supplies as needed
  • Make and confirm travel reservations and coordinate meeting scheduling and arrangements (both external and internal)
  • Complete expense reports, submit check requests and invoices for payment and distribute checks to department members
  • Create and maintain sales history summaries each month for list rental and Journal advertising
  • Process distributor orders and maintain distributor sales spread sheets
  • Update and maintain various corporate relations sponsorship grids, timelines and spreadsheets
  • Assemble sponsorship packets and merge letters for scheduled mailings
  • Assemble and mail materials as needed for National Nutrition Month and consumer education projects
  • Coordinate Integrated Marketing Task Force Meetings including scheduling, preparing and distributing agendas and coordinating A/V support
  • Create PowerPoint presentations
  • Create Excel documents
  • Archive corporate relations deliverables for future access
  • Coordinate mailings for marketing projects and corporate relations, as needed
  • Provide support for various team projects as needed

Requirements:

  • Proficiency in MS Word, PowerPoint, Excel, Access and Outlook (or other email system) is essential
  • Above average communication skills are a must! 
  • Must be able to handle multiple tasks and an attention to detail is a must
  • Two year college degree with a minimum of 5 years related work experience is required
