Speaker Message #3: HOD Fall Meeting Backgrounders

Response Needed By: Friday, September 24, 2004 — Delegates will need to post summaries of member input to the two dialogue session topics via the “Discussion” section of the HOD CoI.

Executive Summary: In preparation for the Fall HOD Meeting Dialogue Sessions “Communications” and “Generational Diversity,” delegate will review all the materials provided for each dialogue session (HOD Member Fact Sheet; Executive Summary of Backgrounder; Complete HOD Backgrounder; and the References and Appendices).  Delegates are provided with information on soliciting member input and sharing this feedback with the House of Delegates via the HOD CoI.  These steps will prepare delegates to participate in these dialogues.

HOD Backgrounders Available:

  • Delegates will find two sets of HOD Backgrounders for the upcoming Fall HOD dialogue sessions: 1) “Communications,” and 2) “Generational Diversity.”  The materials can be found at the end of this message in the section entitled “Related Content”.  Or, can be located in the “File” section of the HOD CoI.  These materials are also available on the ADA member only Web site at HOD Backgrounders.
  • The “Communications” Backgrounder consists of four separate documents for delegate use:

    • HOD Member Fact Sheet (1 single sided page) — this document was designed by three delegates as a result of the Spring HOD Meeting Dialogue Session “HOD Governance Processes”.  It is intended to entice members to consider the issue and provide feedback.

    • Executive Summary of Backgrounder (2 pages) — this document provides a quick overview of the issue found in the complete Backgrounder.

    • Complete Backgrounder (11 pages) — this document answers the four Knowledge-based Strategic Governance questions and provides known information on the issue.

    • References and Appendices (16 pages) — this document contains the various tables and figures referenced in the Backgrounder.
  • The “Generational Diversity” Backgrounder consist of four separate documents:
    • HOD Member Fact Sheet (1½ pages)

    • Executive Summary of Backgrounder (2 pages)

    • Compete Backgrounder (13 pages)

    • References and Appendices (6 pages).

Delegate Toolkit:

  • As requested, delegates again will be able to utilize the following materials for stimulating discussion with members.  These materials can be customized to the meet the needs of individual member groups.
  • The “Delegate Toolkit” consists of the following materials:

    • A PowerPoint presentation for presenting an overview of the information found in the two HOD Backgrounders.  This should assist delegates in presenting the information to members at affiliate, district or DPG meetings in order to obtain their feedback.

    • “Member Input Collection Form” is a single tool for gathering member input to a set of pre-meeting dialogue questions related to the Fall HOD Meeting topics.

HOD Fall Dialogue Sessions:

  • The “Communications” dialogue session will be conducted on Friday, October 1, 2:00 p.m.-5:00 p.m.
  • The “Generational Diversity” dialogue session will occur on Saturday, October 2, 8:00 a.m.-11:45 a.m.

Next Steps:

  • Please carefully review the two HOD Backgrounders at this time.  Delegates are encouraged to be prepared to participate in electronic dialogues about the two topics during August and September on the CoI.  These two electronic dialogues will be conducted in the “Dialogue” section of the HOD CoI.
  • Delegates are encouraged to distribute the two HOD Member Fact Sheets and links to the Executive Summaries, HOD Backgrounders and Backgrounder References and Appendices to affiliate boards, DPG executive committees, at-large networks, and interested members to obtain their feedback. The link to these materials on the member only Web site can be found at HOD Reports.
  • Please use the questions found in the “Member Input Collection Form” for soliciting member feedback.  Delegates will be encouraged to share member input via the “Dialogue” section of the HOD CoI in advance of the Spring HOD Meeting.  Your feedback from members should be presented as a general summary of comments.  This electronic pre-meeting dialogue is intended to give delegates more time to discuss the various options for addressing the issues during the face-to-face meeting. 
  • Delegates are encouraged to enter member input to the questions found in the “Member Input Collection Form” by Friday, September 24.  The input from members should be entered in the “Discussion” section of the HOD CoI.  The consolidated member input will be made available to delegates in advance of the meeting if posting occur before 4:00 p.m. (CDT) on Friday, September 24.  These responses will assist the HOD Leadership Team and delegates in preparing for the Dialogue Sessions in Anaheim.
