What Do You Need to Know? The Fall HOD Meeting begins 8:00 a.m.Friday, October 24 and concludes 12:00 Noon Saturday, October 25. New delegates and Table Facilitators need to be in Chicago in time for meetings on Thursday, October 23.
What Do You Need to Do? Make your travel reservations for the Fall HOD Meeting in Chicago.
When Do You Need to Complete It? Make your travel reservations as soon as possible.


Draft Meeting Agenda

  • At the beginning of this message you will find draft Fall 2008 HOD Meeting agenda for your use in preparing to make travel reservations for attending the meeting. Please print and review the agenda. A more complete agenda will be released following the HOD Leadership Team July 10 to 13 retreat.
  • The Fall HOD Meeting will begin at 8:00 a.m., Friday, October 24 and will conclude at 12:00 Noon, Saturday, October 25.
  • The meeting location is the Hyatt Regency Chicago Hotel (headquarters hotel) in Chicago, Illinois.
  • Please note the following special events that will occur prior to the Fall HOD Meeting:
    • Thursday, October 23, 3:00 p.m. to 4:00 p.m.
      Orientation to a HOD Meeting will be conducted for all new delegates. All new delegates are required to attend this session.
    • Thursday, October 23, 4:15 p.m. to 7:15 p.m.
      HOD Meeting Table Facilitator Training. This session is for the newly appointed Table Facilitators.
    • Thursday, October 23, 7:00 p.m. to 8:00 p.m.
      Mentor/Mentee “Meet and Greet” — this is a great opportunity for HOD mentors to meet your mentee in person.
  • Two HOD mega issue dialogue sessions are planned for the meeting:
    • Friday, October 24, 8:45 a.m. to 12:00 noon:
      Nutrigenomics.
    • Saturday, October 25, 8:00 a.m. to 11:30 a.m.
      Nutrition Informatics.
  • On Friday afternoon (October 24, 1:30 p.m. to 5:00 p.m.), one or two other sessions are in the planning stages. You will learn about these sessions following the HLT retreat in July 2008.

Action Needed-Travel Reservations

  • The Priority Housing Information from ADA was distributed to you from the ADA Meeting Services Team in May and by now you should have booked your lodging for the Fall HOD Meeting and FNCE 2008. If you have not booked your lodging for the Fall Meeting and FNCE, please contact Nina Landrum as soon as possible (800/877-1600, ext. 4892 or nlandrum@eatright.org).
  • At this time, you have been authorized to travel for the Fall 2008 HOD Meeting. Please contact the ADA Travel Store to make your flight arrangements as soon as possible. In order to keep the cost of travel within budget parameters, we are requesting you to make the flight reservations now.
  • You may contact the ADA Travel Store at 800/947-0167 (Monday to Friday, 8:00 a.m. to 5:00 p.m. Central). Or, visit the online ADA Travel Store (www.adatvl.com) to make your travel reservations.
  • If you are a new delegate, you should complete the Travel Profile (which can be found below) and return it as soon as possible. This will assist you in making your travel plans now and in the future.
Key Reminders Regarding Reimbursement
  • ADA pays the transportation costs for all delegates (affiliate, Professional Issues and At-large). This includes the travel to and from the airport, local transportation, parking and airfare.
  • Professional Issues and At-large Delegates will be reimbursed by ADA for lodging (3 nights) and per diem (3 days). Please review B.3 in the HOD Manual for further clarification.
  • Professional Issues and At-large Delegates must share a room to keep costs of the meeting within budget. If you do not share a room, you will be reimbursed for only half of the room rate. Any additional lodging costs must be approved before the Fall HOD Meeting in order to be reimbursed. Any questions related to reimbursement should be directed to Harold Holler (hholler@eatright.org or 800/877-1600, ext. 4896).
Meeting Participation
  • ADA members, affiliate, MIG and DPG leaders are welcome to attend the Fall HOD Meeting.
  • Members and leaders who wish to participate in the Fall HOD Meeting should contact the HOD Governance Tea.m.(hod@eatright.org) to pre-register for the meeting.
  • Interested members and leaders should pre-register by Thursday, October 16, 2008.
  • Pre-registration ensures that an individual will receive materials in advance of the meeting, as well as an On-Arrival Meeting packet. Also, it ensures an assigned seat for the meeting and for all food functions.

  • Watch for the HOD Backgrounders and Delegate Toolkits to be posted to the HOD CoI and ADA Web site on Wednesday, July 30, 2008.
