Welcome to the March edition of the Academy of Nutrition and Dietetics Exhibitor Newsletter, Exhibit Right: News and Information for the Nutrition Business Community. Here you will find valuable tips and resources, as well as deadline reminders to help you save money. Here at the Academy, we want you to have a successful exhibit! Read on for important tips and information to help you make this year's FNCE your best year yet!

Booth Space for 2012 FNCE Is Still Available!

This year's Food & Nutrition Conference & Expo (FNCE) will be October 6 to 9, 2012 at the Pennsylvania Convention Center in Philadelphia. Booth space is still available! As an exhibitor at FNCE, you will gain access to more than 8,500 registered dietitians, dietetic technicians, and other food and nutrition professionals in the foodservice and healthcare industries. FNCE places your company and product in front of professionals who directly impact the health and well-being of millions of consumers. Don't miss your opportunity to expand your sales base, network with others, and educate industry leaders on your products and services.

Exhibit Hours:

Sunday, October 7, 2012: 9 a.m. - 3 p.m.
Monday, October 8, 2012: 9 a.m. - 3 p.m.
Tuesday, October 9, 2012: 9 a.m. - 1 p.m.

Pricing:

Booths are measured in 10' x 10' increments. Two or more inline booths can be combined to create a 10' x 20' configuration or larger. Pricing for these larger booths are based on the base 10' x 10' price. A 10' x 10' inline booth space is $2,300. A 10' x 10' corner booth is $2,600. Be Aware of the Un-Fair! Watch out for "Fairguides" and "EXPO Guide"

We are continuing to learn of companies soliciting our exhibitors. Again, we want to take the opportunity to express that The Academy of Nutrition and Dietetics & FNCE do not endorse "Fairguides" or "EXPO Guide." There are several organizations (including Construct Data Publishers Verlag AG, which uses the name Fair Guide or Expo Guide) that have been targeting exhibitors around the world requesting that exhibitors upgrade their tradeshow information. We have recently learned of a fourth company soliciting exhibitors and tradeshow managers to purchase a Year Ahead Directory. Year Ahead, or Profile Group (UK) Ltd, is a London based organization.

These third-party companies send misleading forms, possibly containing the FNCE brand, and later demand money from those who sign in error. Please be advised that these companies have no relationship with the Academy or FNCE. Companies like "Fairguides" claim to be resourceful in helping you find fairs, exhibitors, and fair organizers all over the world. Their material is misleading and deceptive.

We urge you to use caution in responding. Some exhibiting companies have haphazardly signed contracts for listings in these guides, costing them an unwanted, annual fee. Because many of these companies operate outside the borders of the United States, their operations may be subject to less scrutiny. While we cannot confirm that their operations are illegal, we encourage our exhibitors to take caution before signing on.

Again, watch out for Fair Guide, "Fairguides", EXPO Guide, Construct Data Publishers Verlag AG, Year Ahead, or Profile Group (UK) Ltd.

Don't Hesitate, Stay Up-To-Date

Once you submit your 2012 FNCE booth application, you can create, or update, your Exhibitor Profile. This information will be on our Interactive floor plan, giving you added exposure months before FNCE. It is also listed in the official FNCE Program Book. It is very important you update your profile no later than June 29, 2012. FNCE attendees rely on your online profile to help them better plan their schedule while at FNCE.

Please take the time to review your company profile on the 2012 Exhibitor website. You will need your password to login. If you do not have that confirmation, feel free to contact Katelyn Wujciga, Exhibits Coordinator, at kwujciga@eatright.org.

To login, please click the Exhibitor Login link on the left-hand side. Use your given password to access this secured portion of our website. Just for exhibiting, you receive our standard package at no additional charge. This package includes your company contact information, company name listing, product category listings and a 500-character description.

New Product Showcase ($600 per submission)

During FNCE, companies will have the opportunity to promote new products (introduced after September 2011) in the New Product Showcase, both onsite and online. These products are featured online three months prior to FNCE, and three months following FNCE. All of the products will be showcased at the entrance of the Expo Hall, and highlighted in the FNCE Program Book if entries are received before June 29, 2012.

Rules for Entry

  • You may submit up to two digital images for use in the New Product Showcase 2012. Products must be introduced after September 2011. Please send your images to Katelyn Wujciga at kwujciga@eatright.org.
  • The final submission deadline for the New Product Showcase is June 29, 2012.
  • Descriptions of the products should be submitted along with the digital image, and no longer than 1,000 characters. We will edit your description if more than 1,000 characters are submitted.

Introducing EXPRESSO

The Academy and Global Experience Specialists (GES) are pleased to announce the launch of EXPRESSO, a new, online ordering and management system that allows you to order everything you need for your FNCE exhibit. This new system satisfies your "need for speed," hence the name. With just a few clicks, you can order GES products and services including booth furniture, carpet and flooring, material handling, labor, sampling information, lead retrieval ordering, and rent the FNCE attendee list. The Exhibitor Service Manual/EXPRESSO goes live May 3, 2012. Educational webinars will also be available shortly after its launch.

We ask that you exemplify proper behavior and booth etiquette throughout FNCE. As an exhibitor, one should be engaging to attendees and friendly to fellow exhibitors. Please remember that promotions and product sampling must be done from a contracted exhibit space. It is important to dress and act professional, as you are soliciting potential customers. Your job is to make everyone passing feel welcome. You want attendees to identify and approach you. Imagine you are hosting a party in your home.

Rules and Regulations

With so many people in one building, the safety of our exhibitors and attendees is important. The Academy has created several policies to abide by. These policies are included in the Application and Contract. We want everyone to have an enjoyable experience and appreciate your cooperation.

Staffing

Open your exhibits on time each day. Each exhibit booth must be manned during all exhibit hours until the closing of the Exposition on Tuesday, October 9, 2012, at 1 p.m. Exhibit representatives manning the booth must be bona fide employees or distributors of the exhibiting company or members of his/her family and must be eighteen years of age or older. Exhibitors must display goods manufactured or represented by them in their regular course of business, unless approved in advance by the Academy. It is strongly encouraged that all exhibitors staff their booths with a minimum of two representatives to ensure adherence to this regulation. Exhibitors will have access into the exhibit hall two hours before the exhibits open each day of the Expo. Exhibitors may remain in the hall one hour after the close of the exhibit hall each day.

Demonstrations

Demonstrations or live interviews must be confined to the limits of the space contracted. The use of magicians, fortune-tellers, dancers, mimes, puppet shows or other entertainment of this nature is prohibited without written permission from the Academy. The use of audio visual sound or other sound devices are permitted; however, the use of such equipment cannot disturb neighboring exhibitors, result in the obstruction of aisles, or prevent ready access to a nearby exhibitor's booth. The Academy's Exhibits Manager reserves the right to determine the above. Exhibitors must take every reasonable precaution to minimize the noise of demonstration or of operating sound devices. Helium-filled balloons or devices are not allowed in the Expo Hall. Giveaways may not include stick-on decals or balloons. All Exhibitors are required to carpet their booths.

Materials

Distribution of advertising and other promotional materials is permitted within the confines of the contracted booth space. Any exhibitor found distributing promotional materials outside of their allotted booth space will found in violation of the Exposition Rules and Regulations. Exhibitors must use flame resistant decorative materials.

Furthermore, please note that Exhibitors wishing to cancel or reduce their display space must inform the Academy of their intent in writing. If a space is cancelled or reduced on or before May 1, 2012, a refund will be made less a 50% service charge based upon the full cost of the space rented.
